Which printer should you buy?
The right printer follows from two numbers: how many pages you print in a month, and how much of that is colour. Everything else — brand, features, form factor — is secondary to getting those two right, because they determine the running cost, and running cost is where a printer is actually expensive.
- Light home use, mostly documents: a compact laser or a basic ink tank model.
- Home use with photos and school projects: an inkjet or colour ink tank printer.
- Small office, mostly black text: a monochrome laser multifunction printer.
- Office printing colour in volume: a colour ink tank or colour laser, depending on whether speed or per-page cost matters more.
- Departmental or continuous printing: a workgroup machine with a duty cycle and paper trays sized for the load.
Laser or ink tank — which is cheaper to run?
For black text in volume, a laser printer is usually the lower cost per page and is faster and sharper. For colour in volume, ink tank printers have changed the arithmetic considerably: refill bottles cost a fraction of cartridges, so a machine that would have been ruinous to run in colour becomes practical.
The trap to avoid is buying a cheap cartridge-based printer for heavy use. The machine looks inexpensive and then costs more in cartridges within the first year than a better printer would have cost outright.
Common printer faults and what causes them
- Streaks, banding or faded output — usually a low or failing cartridge, a dirty print head, or a worn drum on a laser machine.
- Repeated paper jams — commonly worn pickup rollers, the wrong paper weight, or an overfilled tray.
- Printing has stopped working over the network — most often follows a router change, a new IP address or a driver update on the computers.
- Ghosting or smudged toner on a laser printer — typically a fuser problem.
- Blank pages from an inkjet after a period of disuse — dried print head nozzles, which is why occasional printing keeps an inkjet healthy.
Scanners and going paperless
Offices digitising records need a different machine from the flatbed most people picture. Which is better for an office — a laser printer or an ink tank printer?
For black text in volume, a laser printer is usually cheaper per page, faster and sharper. For colour in volume, an ink tank printer is normally far cheaper to run because refill bottles cost a fraction of cartridges. The right answer depends on your monthly page count and how much of it is colour.
