EPABX stands for Electronic Private Automatic Branch Exchange. In plain terms it is a small telephone exchange that sits inside your building and shares a limited number of outside lines across a much larger number of internal extensions.

Two things follow from that. Internally, everyone can reach everyone else by dialling a two or three digit extension, at no cost and without using an outside line at all. Externally, a caller dials one published number, reaches reception or an automated greeting, and gets transferred to the right person — so the business presents a single number rather than a list of mobiles.

Two numbers decide the system: how many outside lines you need answered simultaneously, and how many internal extensions you need. The first is usually far smaller than people expect — most businesses need only a few simultaneous outside calls — while the second grows steadily as the office does.

The mistake worth avoiding is buying an exchange that exactly fits today. Adding extensions later is straightforward on a system with spare capacity and expensive on one that is full, so we specify with headroom rather than to the exact current count.
